Most people overthink invoicing. A professional invoice doesn't need a fancy design — it needs the right information, in a readable layout, delivered promptly. The faster you send it, the faster you get paid.
Here's the fastest path from completed work to collected payment.

Add your business details
Your name (or business name), address, email, and phone number go at the top. This is who the invoice is coming from. If you have a logo, upload it — it takes 10 seconds and makes the invoice look immediately more professional.
Add the client's details
The "Bill To" section. Use the exact name they go by in their billing system — a mismatch here is the #1 cause of invoices getting kicked back by accounts payable departments.
Set the invoice number, date, and due date
Use a sequential format like INV-2026-001. Set today as the invoice date. For the due date, Net 14 works well for most freelancers — long enough to be reasonable, short enough to keep cash flow moving.
List your line items precisely
Each line should say what was delivered, the quantity, the unit price, and the total. "Website redesign — 3 pages" beats "Design work" every time. Specific line items mean fewer questions and faster approval.
Add tax if applicable
If you're VAT-registered (UK/EU), GST-registered (Canada/Australia), or charging sales tax (some US states), add it as a separate line after the subtotal. Show the rate clearly.
Include payment instructions and download as PDF
This is the step most people skip — and it directly delays payment. Add your bank details or a payment link before downloading. Send as PDF, not Word.
What makes an invoice look professional?
It's not about design — it's about completeness and clarity. A professional invoice has:
Not vague categories — actual deliverables with quantities
Same font, aligned columns, clean layout throughout
The reader should see what they owe and when in under 5 seconds
Don't make the client ask how to pay you
Not editable after the fact — looks intentional and secure
